Job Title: Office ManagerReports To: Production and Facilities ManagerDepartment: OperationsDirect Reports: NoneFLSA Status: ExemptSummary:The Office Manager is responsible for various office, QC, purchasing and logistics functionsDuties: Office Functions-- Works with Purchasing Manager (STL) to coordinate local purchasing and deliveries-- Works with Logistics Manager (STL) to coordinate shipping functions-- Matches and verifies vendor packing slips/supporting documents with purchase orders to ensure correct quantities are received and quality of materials is in conformance-- Completes accurate and timely inventory counts - monthly-- Manages document filing-- Assist Production and Facilities Manager with monitoring / ordering office supplies, bathroom and breakroom supplies-- Assist with telephone calls and visitations from outside vendors / customers-- Assist in areas of employee onboarding procedures as needed / requested-- Other office duties as assignedDuties: Quality Control-- Conducts final quality checks on all shipments, signs off prior to shipment.-- Take pictures of all shipments according to the written procedures.-- Other duties as assignedCompetency: To perform the job successfully, an individual should demonstrate the following competencies: Analytical - Design work flows and procedures.Problem Solving - Identifies and resolves problems in a timely manner; Gathers and analyzes information skillfully; Develops alternative solutions; Works well in group problem solving situations; Uses reason even when dealing with emotional topics.Project Management - Coordinates projects; Manages project team activities.Technical Skills - Pursues training and development opportunities; Strives to continuously build knowledge and skills; Shares expertise with others.Customer Service - Meets commitments.Interpersonal Oral Communication - Speaks clearly and persuasively in positive or negative situations; listens and gets clarification; Responds well to questions; Demonstrates group presentation skills; Participates in meetings. Customer service and negotiation skills. Excellent communicator both verbal and written skills.Analytical: High degree of accuracy and attention to detail.
