Job Description:
Summary/ObjectiveThe position of Transportation Coordinator is
to oversee transportation service logistics, ensure authorized
transportation is available to individuals served, and ensure safe
and well-structured transportation services to individuals with
intellectual and developmental disabilities (I/DD).Essential
Functions- Responsible for the efficiency, training and quality
assurance, and implementation of daily routing for all
transportation services within the designated regions and
departments.- Works with the Transportation Supervisor and/or
Manager to ensure proper vehicle availability in regards to
maintenance schedules and fleet requirements.- Oversees required
pre-trip vehicle inspection procedures conducted by drivers.
Identifies and addresses concerns in a timely manner.- Monitors
vehicles for routine and non-routine maintenance needs.- Enters
vehicle work orders and communicates emergency needs to the Fleet
Manager.- Ensure drivers submit insurance and license information
in a timely manner to the Driver Compliance Specialist.- Implements
recurring driver training to align with safety program and driver
policies- Works with stakeholders and clients to fulfill
transportation-related contractual agreements.- Supports staff when
performing driving functions.- Performs on-call transportation
duties, including rotating carrying the on-call phone, responding
to communications, implementing solutions to barriers,
communicating changes to drivers, and informing contacts of
delays.- In the absence of the Transportation Manager/Supervisor,
assists in predicting department growth and associated
transportation needs, including route adjustments, vehicle, and
driver needs.- Ensures that the transportation of hand supplies is
inventoried and correctly accounted for.- Assists in the execution
of the transportation department safety and compliance program.-
Adheres to company policies and procedures in addition to
regulations, laws and other requirements from applicable governing
bodies, certification, licensure and/or accreditation entities,
etc.- This position works in a variety of settings including but
not limited to: professional office, community partner locations,
outside in the elements, and at service delivery sites.Other
Responsibilities- In the absence of Transportation
Manager/Supervisor: Modify routes according to service needs,
monitor fleet for safety and maintenance concerns, complete work
orders, communicate with Fleet Manager/Director, complete initial
driver orientation and driving skills evaluation, review billing
for accuracy Assists clients with developmental disabilities in
attaining the optimal level of independence.- Serve as backup
driver when necessary.- Ensures legal compliance with state and
federal regulations and Individual Service Plans (ISPs).- Document
and report to the required entities any incidents and accidents
adversely affecting the health and safety of individuals served.-
Attend staff meetings and other meetings, as assigned.- Complete
all required documentation related funding, employment or general
operations.- Assure that proper procedures are followed regarding
individuals and their inherent rights.- Assist in the review and
timely submission of all records, files, financial records,
etc.-Other duties as assigned.Supervisory DutiesThis position does
not have supervisory duties.Education, Skills, Experience and
Requirements- High school diploma or equivalent.- Minimum of 1 year
of experience in transportation, program management, or supervision
in adult day habilitation services preferred.- Must be proficient
with spreadsheet and word processing software with the ability
tolearn new programs expeditiously; experience in transportation
routing software preferred.- Positive attitude and enthusiasm for
providing high-quality services to individuals with I/DD.- Valid
driver’s license and insurable driving record, if
