Job Description:

Position Title: Project Coordinator Reports To: Managing Director, Projects Appointment Type: Full-time Schedule and Hours: Varies as necessary Summary of Position The Project Coordinator is an integral member of the project team responsible for project activities and tasks of varying size and complexity. Project coordination can range from administration duties (maintenance of project documentation, plans and reports), through quantitative analysis, and involve client interaction. The Project Coordinator will support JobsOhio, JobsOhio Network and Development Services Agency (DSA) on all project management activities through effective collaboration and communication. Overview JobsOhio is Ohio's private economic development company. Our mission is to help attract, retain and expand companies job creation and capital investment in Ohio. The economic development delivery model requires strong partnership including JobsOhio, JobsOhio's six (6) regional Network partners as well as local partners. JobsOhio's project coordinator team is responsible for quality control related to Project pipeline and processes, as well as data analysis on projects and program portfolio. Responsibilities and Duties The Project Coordinator is responsible to assist the team by ensuring the Project process is adhered to and the software system (SalesForce) is appropriately utilized during the process. Intake, Vetting, Due Diligence and Structuring Monitors the creation of Projects and collaborates with entire team Performs Project due diligence which includes, but isn't limited to, previous incentive assistance, business scores, legal/financial/environmental liabilities etc (DSA salesforce, LexisNexis and other systems utilized). Due diligence is conducted at several points in the Project process including as the Project Manager prepares structuring the deal with incentives Conducts thorough Project record review in preparation for the MWF project meeting. Decides if Project is ready for MWF meeting; indicating what fields still need to be completed, updated, modified etc for generation of an offer letter Coordinates Offer of incentives Prepares and distributes JobsOhio/Development Services Agency Team project review meeting agendas and provides hard copies at the meeting Runs ---Return on Investment--- (ROI) calculations for each project and enters data in Salesforce Assists in JO/DSA meeting taking attendance, Project notes (approvals, denials, discussion, next steps etc) and with visual presentations that need displayed Writes Ohio Offer Letter for projects, routes to DSA Director and JobsOhio President and Chief Investment Officer for signatures, then uploads them to SalesForce, and notifies the Project Manager Monitors active offers made to companies and coordinates follow-up with Project Managers including extension of offers Application, Approvals, Agreements and Closing Responsible for Application Coordinates with Project Manager related to timing of application Releases application to Company, assists with any questions during application phase, monitors answers and length of time in this step of the process. Once the Company submits the application the PC performs a thorough review of the application, submitted forms, legal/financial history questions etc. Performs further due diligence on Company and ensure all forms align with Company's legal entity name confirming registration with the Ohio Secretary of State Coordinates Project Approvals Tracks all approval bodies (Tax Credit Authority, Controlling Board, loan review, JobsOhio's Independent Review Panel, JobsOhio Investment Committee / Board) Communicates dates and deadlines to the Project Management team Coordinates the approval meeting agendas with appropriate Project Manager and DSA Once Project incentive is approved PC is responsible to communicate approval, update SalesForce and begin either drafting the Agreement or hand off to DSA Coordinates Project incentive Agreements Responsible for monitoring DSA Agreement activity and coordinating with them and the Company as appropriate Responsible for drafting all JobsOhio grant Agreements, communicating with the Company, managing redlining process (working with JobsOhio General Council and project team), and routing final Agreement for signatures/execution Coordinates and conducts hand off call with Company, Project team and JobsOhio Project Performance Team Responsible for accuracy on the month-end executed Agreement report on JobsOhio website (coordinated with General Council and marketing team) Responsible for Closing Projects process Coordinates with Project Manager to ensure criteria has been met to close a Project Responsible for coordinating and managing the Metric Wins (Projects JobsOhio / JobsOhio Network have been involved in and Company is moving forward in Ohio) ensuring all data is accurate Supports the Managing Director and team: Creates, runs, and delivers accurate and timely reports (e.g., weekly project, program, metric etc) for the Project team Drafts guidelines, program summaries, manuals, and develops instruction sheets and checklists Provides analysis of programs and project data including but not limited to previous and current program commitments per job, project, and cluster. Ensure SalesForce is utilized across the team and reflects current business processes Assists with meeting logistics including agenda, such as the Huddle, project team trainings, site selection meetings etc Performs special projects and other duties as assigned: PC must be well versed in JobsOhio and DSA program guidelines and philosophies Attends Meetings including but not limited to: JobsOhio Network Project Managers training meetings; JobsOhio and Network weekly calls Approval body meetings Salesforce meetings PC team is also involved in special projects such as customer service survey, tracking post executed DSA projects/programs, revitalization program, site selection initiatives etc. May require travel within the state of Ohio Education, experience and skill requirements include, but not limited to: Bachelor's degree preferred, in business, finance, economic development or related degree Proficient in Microsoft office products (Word, PowerPoint, Excel) Data Analytics proficiency and experience preferred Self-motivated and quick aptitude Project is when a company has a job creation and or capital investment opportunity in which Ohio is in competition JobsOhio is proud to be an equal opportunity employer.
