The successful candidate files documents for the Supreme Court of Ohio's consideration in accordance with the Rules of Practice of the Supreme Court of Ohio. Serves as a resource for persons seeking case status information and responds to questions of procedural concern. Establishes and maintains a system for managing case files and other court documents. The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. Receive and review filings for compliance with the Rules of Practice of the Supreme Court of Ohio; use professional judgment to determine how to classify new cases and handle case documents. Provide guidance to filers regarding procedural issues. Respond to in-person and telephone inquiries regarding procedures, case status and court action. Correspond with parties regarding procedural inquiries and deficient filings. Enter information from filings into the electronic case management system. Prepare documents for internal processing. Perform general office administrative duties including verifying court entries, processing attorney fee applications, copying, scanning. Collect and record filing fees (cash, check, or credit cards). Maintain, control, and inventory Supreme Court paper case files and other files, in accordance with applicable rules and in a systematic and orderly manner. Manage filing of certain records electronically and upload to the case management system. Maintain virtual file room. Independently work with Master Commissioners and Justices' law clerks to supply relevant records for case consideration. Identify and secure records containing sealed or confidential items, valuables, and weapons. Ensure proper treatment of items requiring special handling. Coordinate print production of e-filed documents. Regularly organize and prepare large volumes of copied case files for Justices. Assist Chief Deputy Clerk with tracking and distributing materials to Justices and court staff. Provide back-up in monitoring the status of pending case documents/and other matters to be scheduled for Court consideration. Escalate issues to Chief Deputy Clerk for resolution. Review records and evidence transmitted from lower courts and agencies and insure completeness and/or proper form before acceptance by the Court. Consult Case Management Counsel to resolve issues regarding completeness and accuracy of records. Docket records and related receipts. Maintain positive and productive working relationships with lower court and agency clerks transmitting records from the 88 counties in Ohio, communicate with them regarding problems and concerns with transmittals, and assist in the resolution of these problems. Ensure proper handling, docketing, and timely return of records and evidence. Prepare Supreme Court records for transmittal to United States Supreme Court when accepted for appeal; receive and properly dispose of records returned from the U.S. Supreme Court. Retrieve both on-site and off-site court records in response to requests of the Justices, court staff, and the public. Anticipate and make recommendations as to space planning and space allocation for records storage. Develop, implement, and maintain a process for records disposal and off-site storage consistent with the court's records retention plan. Coordinate records retention projects, including evaluation of retained case files and adherence to records retention and destruction schedules. Prepare case files for transmission to the Ohio Historical Society. Draft and organize the Supreme Court Administrative Journal and maintain original journalized documents pursuant to the court's records retention plan. Develop and maintain current training manuals for the functions of deputy clerks. Assist with updates to the process for transmitting lower court records, including drafting and editing updates to the presentation materials and presenting at seminars for lower court clerks. Performs other duties as assigned. Regular, reliable, and punctual attendance is required. Qualifications Bachelor's degree or associates degree, or equivalent combination of education and experience required. Also required is the ability to work in a team environment, maintain confidences, and exercise sound judgment and discretion. Ability to complex rules and case types and to understand judicial and court procedures required with an understanding of specialized legal terminology preferred. Case management experience and familiarity with case processing preferred. Further, no employee shall have the employee's employment terminated with or without cause unless upon the concurrence of a majority of the Court. Major Worker Characteristics: The Court seeks to recruit and retain talented individuals with a commitment to public service. This is a non-exempt unclassified position that reports to the Chief Deputy Clerk. The starting salary range, which is commensurate with experience, is $52,624. The Supreme Court of Ohio offers a generous compensation package which includes salaries reviewed annually for market adjustments; health, vision, dental, and life insurance; 14% employer contribution to the state retirement plan (OPERS); tuition reimbursement; flex time; and paid vacation, personal and sick time earned in the first month of employment.
