JOB DESCRIPTION
Customer Service
I. General
The Customer Service will provide customer service and
administrative support for a busy home medical equipment office.
This employee will also be assisting with others relative to
in-house communications with the patient/client.
II. Responsible To
The Customer Service reports directly to the Branch Manager. The
Customer Service t is also responsible to any manager as dictated
by Company Policy. In absence of the Branch Manager, the Customer
Service Assistant is responsible to whatever individual the Branch
Manager has at that time charged with management of the Customer
Service Department.
III. Responsibilities and Duties
Assisting in day to day operations: scheduling appointments,
returning calls, responding to inquiries, verifying all required
paperwork is provided by delivery pickup repair staff, monitoring
communications from customers, creation of files for delivery/
service.
Ensure all messages have been retrieved and return calls made.
Update notes in website; contact purchasing agents by phone and
email as needed.
Order all parts that were approved by; data enter all PO's for
parts ordered; charge up PO's in TIMS once parts are ordered;
deplete inventory on patient order.
Schedule deliveries and pickups with the patient as needed.
Clear routes by updating notes in website, contact Purchasing
agents by phone and email as needed.
Enter orders on website for all rehab orders received from the
VA.
Forward orders to purchasing to be ordered and update website.
Assist with obtaining quotes for Rehab..
Assist in CRM input as designated.
Works open order reports, open scheduled and equipment receive
reports.
Assists with resending open work orders and resolution of
issues.
File away all completed orders in server room; place all files in
designated locations, by status in active file drawer.
Check work area to ensure that files are not exposing patient
information.
Complete daily status report, scan and email out by 4 PM daily.
General office duties and other tasks as needed.
Regular attendance is a necessary and essential function of the
job.
Complete 10 hours of continuing education credits, relevant to this
position, per renewal cycle, including up to 5 hours of in house
facility based In-Service continuing education and a minimum of 5
hours of approved peer review continuing education programs as
directed by management
IV. Qualifications
Education
Graduate from an Accredited High School
Experience and Knowledge
Excellent communication/phone and customer relations skills are a
must.
Previous Data Entry Experience
Typing and 10 key skills
Proficient knowledge in the Microsoft Office Professional Suite
Detail Oriented
Problem Solver
Must be able to read, write and speak English fluently.
Ability to multitask.
V. Physical Requirements
In an 8 hour day the employee lifts/carries 2 lbs. frequently.
In an 8 hour day the employee stands/walks 2 hours.
In an 8 hour day the employee sits 6 hours.
Job Type: Full-time
Salary: $16.00 per hour
